Vice-Provost and Dean School of Education and Extended LearningGENERAL JOB DESCRIPTIONUnder the direction of the Vice Provost and Dean, School of Education and Extended Learning, the Project Coordinator is responsible for oversight, coordination, data analysis, and reporting for several key endeavors within the school.
Specifically, the Project Coordinator will have direct responsibility for operational aspects of the Credit for Prior Learning program, the Textbook adoption process, the Online Adjunct Hiring Pool, and facilitating and organizing the efforts of several committees.
The Project Coordinator conducts research regarding efficient and effective program management, contributes to strategic planning, implementation, and evaluation efforts and operationalizes process changes and structures as directed by the Vice Provost.
MAJOR DUTIES & RESPONSIBILITIES 25% Manage the operational aspects of the Credit for Prior Learning (CPL) Program.
Develop communications and promotions to students, faculty, and staff related to CPL.
Serve as Administrator of the Credit Predictor Pro Software.
Coordinate with the Registrar's Office to ensure seamless and equitable awarding of CPL.
Advise and support students in navigating the CPL process as necessary.
Collaborate with all areas of the college to promote CPL to students, specifically in partnership with Online Enrollment Management.
Collaborate with Marketing & Communications to maintain updated website content.
Maintain knowledge of trends and practices in CPL through peer associations, attendance at local and statewide gatherings, and review of literature to ensure that the college's practices align with Council for Adult and Experiential Learning (CAEL), College Level Examination Program (CLEP), and other industry standards.
Establish and maintain reports and data dashboards to ensure the consistent and accurate flow of current and relevant information to the Vice Provost and other key campus stakeholders.
25% Manage the adoption of textbooks and other support materials for all Academic Courses.
Collaborate with the bookstore manager to ensure the availability of needed materials.
Interact with publishers and program chairs to identify textbook edition changes, collaborate with the Director of Instructional Design to schedule and/ or perform necessitated course revisions.
Collaborate with faculty on potential refinements and efficiency gains related to textbook selection.
Provide as-needed information and support related to the DragonACCESS program.
Provide as-needed support for the integration of publisher-provided technologies.
20% Support the Adjunct Hiring process.
Coordinate with Human Resources to ensure accurate online adjunct recruiting information Establish and maintain an ongoing pool' of prospective online adjunct instructors Support the selection and approval process for online adjunct instructors (including AVENU) 20% Coordinate/manage all phases of various projects related to ongoing Extended Learning Initiatives.
Ensure accurate data transfer in support of the Acadeum course sharing program.
Oversee the micro credential badging process Support the efforts of multiple university committees, including the Academic Technology and Training Committee, the Online Program Chairs Committee, and the Pathways Think Tank.
Develop project plans including review of workflow, defining project tasks and resource requirements, execution timeline, integration and recommendations for continuous improvement.
Establish and maintain reports and data dashboards to ensure the consistent and accurate flow of current and relevant information to the Vice Provost and other key campus stakeholders.
Work collaboratively with the entire campus community as well as external stakeholders to support the efforts of the School of Education and Extended Learning, as well as the Office of the Provost.
10% Contributes to the strategic evolution of the School of Education and Extended Learning.
Performs ongoing research to identify potential process refinement, efficiency improvement, or partnership opportunities.
Actively participates in and meaningfully contributes to strategic discussions and on-going planning.
Perform other duties as assigned by the Vice-Provost.
QUALIFICATIONS FOR THE JOB Bachelor's degree with 3 years related work experience OR 8 years' experience managing simultaneous complex projects.
Significant experience in management, planning, and implementing in an office setting, preferably in support of adult or online learning initiatives.
Proficiency in written and verbal communications.
Skill or experience with the following:
PC and mobile environments, Microsoft Office applications, Project management/ tracking software HTML (preferred) Learning Management Systems (preferred).
Curiosity about and commitment to higher education innovation and educational partnerships.
General awareness of Distance Education principles, standards, and procedures.
Excellent customer service skills.
Ability to maintain confidentiality of sensitive information.
Excellent attention to detail, professionalism, and collaboration skills.
Demonstrated success in networking across departments and programs.
Preferred Qualifications Experience in maximizing scheduling efficiencies.
Experience in enrollment planning, budgeting, purchasing, and forecasting for adult, online, and extended learning programs in a university context.
Market Research experience A year-round appointment working 40 hours per week.
Normal business hours are required, with occasional weekend and evening hours, including a willingness to address time-sensitive University needs outside of normal office hours.
On-site work is preferred, partial remote work is a possibility, but candidate must be willing to be on campus in Tiffin Ohio at least weekly.
